Scheduling is where a club's week takes shape. Get it right and parents stop asking "is there training tomorrow?". Get it wrong and the coach answers the same question 30 times a week. This guide covers what to look for in a scheduling app and how PlyrHQ handles it.
The recurring session reality
Most sports clubs do not schedule sessions one by one. They run a recurring weekly pattern — Tuesday and Thursday at 6pm, Saturday at 10am — for a season. The platform must let you set that pattern once, then handle exceptions like a holiday or rescheduled match.
Five things scheduling apps must do
- Recurring sessions. Set once, applies for the whole season.
- Per-group calendars. Each group sees only its own sessions.
- Pre-RSVP defaults. Most athletes are coming — invert the work.
- Push reminders. 2 hours before, with location and time.
- Parent visibility. Parents see the schedule per child without asking.
Why pre-RSVP changes everything
The default in most apps is "parent has to RSVP yes". The reality is most athletes attend most sessions. PlyrHQ inverts this: everyone is auto-RSVP'd as "going", and parents flip to "not going" only on conflicts. The coach now handles 5 exceptions per week instead of chasing 50 confirmations.
The integration question
A scheduling app should expose calendar feeds (iCal/.ics) so parents can subscribe in their own calendar app. PlyrHQ does this — parents add the child's schedule to Google Calendar or Apple Calendar in one tap.
Reschedules and cancellations
Sessions get moved or canceled — weather, holidays, pitch availability. The platform must:
- Notify all affected parents instantly.
- Update the calendar in one place — not in six WhatsApp groups.
- Keep the history (the original session was moved, not deleted).
PlyrHQ handles all three. The coach edits the session once and parents see the change in their app and via push notification.
What to skip
Skip generic calendar tools (Google Calendar, Notion) — they don't handle attendance or fees. Skip team-only apps that don't support multi-group academies. Pick a sports-specific platform that combines scheduling with attendance and communication.
How PlyrHQ handles scheduling
PlyrHQ supports recurring sessions, per-group calendars, pre-RSVP defaults, push reminders, calendar feed exports, and instant rescheduling. The schedule is one source of truth across coaches, parents, and athletes.
